Business SystemsMake your business easier to run.
Connect the work between calls, emails, quotes, scheduling, and invoicing. I help service businesses get more from the software they already use, simplify recurring tasks, and put AI to practical use.

Your software may already do more than you realize.
Before recommending another subscription, I look at your existing tools and how your people use them.
Maybe the same customer details are entered three times. A quote needs follow-up, but the reminder lives in someone’s head. A maintenance agreement is in one system and the next service date is somewhere else.
We start with the handoff that needs attention and agree on one useful improvement.
Three ways I can help.
The order matters: simplify the work first, add practical AI where it fits, then make the business easier to find.
Simplify your systems
Make better use of your CRM, scheduling, quoting, billing, and communication tools. Reduce repeated entry, clarify ownership, and connect only the handoffs that are worth connecting.
Put AI to practical use
Build useful, repeatable ways to work with approved business information. Your people learn how to start the task, check the result, and know when a decision still needs a person.
Help customers find you
Make your website clearer to customers, search engines, and AI assistants. Start with a prioritized audit, then decide which improvements are worth implementing.
Understand it. Improve it. Make it usable.
You work directly with Joe from the first conversation through implementation and handover.
Understand
Watch the current task, find the repeated friction, and agree on the outcome that matters.
Scope
Set one clear boundary, fixed price, responsibilities, acceptance checks, and a realistic timeline.
Implement
Configure or build the agreed improvement, including the failure path and manual fallback.
Hand over
Test with the person doing the work, train them, and leave practical operating instructions.
One useful improvement. A clear agreement.
We discuss the problem first, then agree on scope, price, and timing. Software subscriptions and ongoing support are separate.
Simplify one process
From $2,500
Improve one recurring workflow using your existing software where practical.
- Implementation and testing
- Training and handover
- 14-day correction period
Website & Search Audit
$750
Receive prioritized findings and a walkthrough, then decide whether you want a separate fixed-price implementation proposal.
The audit and implementation are separate services with separate fees.
Custom systems project
Quoted to scope
For several processes, more substantial integrations, migrations, or purpose-built internal tools.
Requirements, ownership, hosting, and support are agreed before work starts.
Work directly with the person doing the work.
I’m Joe Machynia. I’ve spent more than 15 years working directly with small-business owners in service industries, along with more than five years working in technology, security, and automation.
I use this approach in my own service business and while building StrideVoice. The systems work comes from firsthand experience as both an owner and a builder—not from a slide deck handed off to someone else.
HM Business Systems is a new service line. Early proof comes from systems I have built and use in my own businesses—not invented client results.
Questions before we start.
Will I need new software?
Not necessarily. I start with the tools you already pay for and how your people actually use them. If another tool would help, we discuss the cost, migration work, and ongoing responsibility before making a change.
Does every project use AI?
No. A clearer process or an existing software feature may be the better answer. AI is one option when it fits the task, the information involved, and the review the work needs.
What kinds of businesses are a fit?
The launch focus is owner-run service businesses handling inquiries, quotes, schedules, jobs, invoices, and repeat service. Medical, insurance, legal, financial, and other work requiring specialized regulated-data handling is outside the current scope.
What happens after handover?
You receive training and operating instructions. The one-process engagement includes 14 days to report problems with the agreed implementation. New requests and ongoing support are scoped separately.
